Payments & Cancellations

Updated 06/30/2024 – Effective July 1, 2024:

Because lessons are my primary source of income and cancellations/no-shows are difficult to manage, I’ve decided to move to a flat monthly rate plan for all students. I understand that my students & parents have very busy lifestyles so I’ve tried to make these policies as fair as possible.

LESSONS
We require a minimum commitment of ONE MONTH (4 or 5 lessons depending on the month) for our classes.

BOOKS
Books can be purchased independently or we can purchase them on your behalf and bill at our cost for them.  This is not included in your lesson fees.

PAYMENT
Invoices are sent out on or before the 1st of each month.  Payment is due upon receipt.

Students are required to pay a flat monthly rate for the month that we are going into  (ie. – Pay July 1st for the lessons you will be taking in July).  If your scheduled weekly lesson recurs 5 times during the month, the rate remains the same.  Any cancellations by students must be made up during monthly allocated blocks of time for makeup lessons.  You have a month to make up the missed lesson.  The makeup blocks will be noted on the annual calendar under the Studio menu on the website.  Reach out to Jeana directly to make arrangements.  

New Students
New students who join on a date other than the 1st will pay a prorated amount for the remainder of the month.  Students starting in the final week of the month will be required to pay the prorated month and the following full month.  Payment MUST be received at the new student’s first scheduled lesson (or prior) or it will be canceled.

PAYMENT METHODS
We accept Credit/Debit Card, Check or Cash.  Invoices will be sent out via email or text message on or before the 1st of each month.  Payment is due upon receipt.  If you would like to be auto-pay, please let us know!  We can automatically run your card or ACH transaction each month.

CANCELLATIONS
Rather than a 24-hour cancellation policy, students may cancel their lesson(s) up to three hours prior to their scheduled lesson time HOWEVER they must do a make-up lesson(s) within 30 days to avoid losing their lesson fee. Any lessons that you fail to make up within 30 days will result in you forfeiting the lesson fee. NO EXCEPTIONS. Please understand that make-up lessons are difficult to schedule, but we will do our best to accommodate.  Monthly makeup scheduling blocks will be posted on the Academy calendar under the Studio menu.

Notifications under three hours’ notice or no-shows will result in the loss of the lesson fee altogether and no make-up lesson will be allowed.

If a student takes an extended holiday there is no guarantee their regular timeslot will be available on their return unless a prior arrangement has been agreed upon.

If a student cancels their scheduled lesson three weeks in a row their day and time slot will become open for new students and a new day/time will need to be agreed upon.  I understand that unforeseen circumstances do come up.  Please reach out so I can help!

Instructor Cancellations
Any cancellations made by the instructor (due to illness, vacation, or other extenuating circumstances) will be made-up or refunded at a rate of $20 / 30 minute lesson.

HOLIDAYS
Holiday closures are marked on the calendar for the entire year from Sept.1st thru Aug. 31st.  After looking over the calendar for the year, the number of holidays and the number of 5-week months seem to balance each other out.  If I find an instance where a holiday reduces the over-all lesson count to under 4, I will offer a prorated amount or makeup lessons.  We are closed every year between Christmas and New Years.  This allows everyone to get a much-needed reset before the 2nd half of the year begins!  As with the other holidays, this week off balances out the number of 5 week months in 2024. INSTRUCTOR VACATIONS
I do take at least one week off during the year for a vacation.  While I like to plan ahead, sometimes I can’t.  Any vacation times taken will be credited/refunded or rescheduled and those times will be communicated with everyone as soon as I know.  Thank you to all my parents who are so flexible with me on this!  I appreciate you very much!
